Just downloaded the app? This onboarding guide will take you from installation to ringing up your very first customer without needing to ask for help.

Installing JustSales on Windows

Because JustSales is completely offline and does not require a subscription, it is distributed directly to you. This guide explains how to install it safely.

Important Security Note: JustSales is currently distributed without a Microsoft Code-Signing Certificate. Because of this, Windows SmartScreen will flag the installer as "unrecognized". This is standard Windows behavior for indie software. Never disable your Antivirus or Windows Defender—simply follow the exact instructions below.

Step 1 — Download JustSales

Ensure you are downloading the sales_app.exe file directly from our official website or official GitHub Releases page. Do not download it from third-party software hosters.

Step 2 — Open the downloaded installer

Locate the downloaded `.exe` file in your Downloads folder and double-click it.

Step 3 — Windows security warning

When you open the installer, your screen will likely turn blue with a popup saying "Windows protected your PC".

Microsoft Defender SmartScreen prevented an unrecognized app from starting. Running this app might put your PC at risk.

More info

This warning does not mean the application is malicious; it simply means the developer's digital signature is missing. To proceed, click the underlined text that says "More info".

Step 4 — Continue installation

After clicking "More info", a new button will appear at the bottom of the window labeled "Run anyway". Click this button to begin the installation.

When should you STOP? If the App name listed in the blue warning does not say sales_app.exe, you should click "Don't run" and contact support immediately.

Step 5 — Complete setup & Launch

JustSales is designed as a portable-style modern Windows app. It will extract its files quickly and launch automatically. No bloated installation wizards required!

First Launch

When you open JustSales for the very first time, the application needs a few basic details to set up your secure local database.

Step 1: The Login Screen

You will be greeted by the Login Screen. JustSales is built for retail environments, meaning it locks automatically to protect your cash register.

Since this is your first time, you don't have a PIN set up yet. The system will prompt you to create an initial Admin PIN (e.g. `1234`). Do not forget this PIN!

Where is my data stored?

JustSales uses a blazing-fast local database engine (ISAR). On your first launch, it automatically creates a sales_app_db folder inside your Windows Documents directory. Do not delete this folder, as it contains all your products and sales history.

Configure Store Information

Before making your first sale, you should configure your store details. These details will be printed on every PDF invoice, receipt, and purchase order you generate.

Step 1

Log into JustSales and look at the top-right corner of the window. Click the Gear icon (Settings).

Step 2

In the Settings panel, fill out the following fields:

  • Store Name: E.g. "Main Street Electronics"
  • Store Address: E.g. "123 Main St, New York, NY"
  • Contact Number: E.g. "+1-555-0198"

Step 3: Currency & Taxes

Scroll down to the localization settings:

  • Currency: Select your local currency symbol ($, €, £, ₹). This automatically updates all prices across the entire dashboard and inventory.
  • Default Tax Rate (%): If you charge a flat tax on all sales, enter the percentage here (e.g. 8.5). This will automatically be applied during checkout.

Step 4

Click Save Settings at the bottom. A green confirmation banner will appear.

How to Add a Product

The Inventory tab is where you manage what you sell. Let's add your first product.

Step 1

Open Inventory from the bottom navigation bar.

Step 2

Click the large purple + Add Product floating button in the bottom right corner of the screen.

Step 3

A form will appear. Fill in the product information:

  • Product Name: (Required) The display name, e.g. "Wireless Mouse".
  • Category: (Required) You can type an existing category or create a new one instantly by typing it in.
  • Base Price: The final price the customer pays.
  • Cost Price: What you paid for it (used to calculate your profit margins in reports).
  • Stock Quantity: How many you currently have physically on the shelf.
  • SKU / Barcode: The numeric code used for scanner lookups. (You can leave this blank and use Fast Scan later).

Step 4

Click Save. The product form will close, and your new item will instantly appear in the inventory list.

Barcodes & Fast Scan Mode

JustSales supports physical USB/Bluetooth barcode scanners natively. Simply click into any search field and zap a barcode.

Generating & Printing Barcode Labels

If you manufacture your own products or buy unlabelled goods, JustSales can generate professional barcode stickers for you automatically.

  1. Go to the Inventory tab.
  2. Click on any product in the list to expand it.
  3. Look for the blue QR Code icon (Print Barcode Labels) next to the Edit icon.
  4. Click it, and a dialog will ask how many labels you want to print.
  5. Click Print. JustSales will generate an A4 PDF sheet filled with Code 128 barcodes, complete with the product name and price printed beneath each one!
Button clicking but nothing happens? If the product's SKU field is empty, the app will show a warning saying "Please add an SKU first!". You cannot print a barcode for a product that doesn't have an SKU number saved.

Fast Scan Mode (Bulk SKU Assignment)

If you have just manually added 50 products and none of them have barcodes attached yet, Fast Scan Mode is the fastest way to link them.

  1. In the Inventory tab, look at the top right of the screen.
  2. Click the Barcode Scanner icon (next to the Import CSV button).
  3. This opens a dedicated, distraction-free screen listing all your products.
  4. You can use the Category Filters under the search bar to narrow down the list.
  5. Click the text field next to the first product.
  6. Zap the physical barcode with your scanner.
  7. JustSales will automatically save the barcode and instantly jump your cursor down to the next product in the list. You can barcode an entire box of inventory in seconds!

Check Current Stock

To check what is currently in stock, open the Inventory tab. The main list displays all products and their current `Total Stock` count.

Searching and Filtering

  • Category Chips: At the top of the screen, click chips like "Smartphones" or "Cosmetics" to instantly filter the list.
  • Search Bar: Type a product name, or scan a barcode while the cursor is in the search bar to jump directly to an item.

How Inventory Changes

When you complete a sale in the Sales tab, the stock is automatically deducted. When you receive a Purchase Order, the stock is NOT automatically added (you must manually update the stock or import a CSV) to ensure you physically verify inbound shipments.

Import & Export CSV (Bulk Updates)

If you have hundreds of products, the easiest way to update stock quantities is using a spreadsheet (CSV).

Exporting your Inventory

  1. Go to the Inventory tab.
  2. Click the Download icon (Export CSV) in the top right.
  3. Save the file to your computer and open it in Excel or Google Sheets.

Importing Updates

  1. Open the CSV you exported, and change the numbers in the `stockQuantity` or `basePrice` columns.
  2. Save the file (Ensure it saves as Comma Delimited CSV, not .xlsx).
  3. In JustSales, click the Upload document icon (Import CSV) in the top right of the Inventory tab.
  4. Select your modified file. The app will instantly update all products.
Formatting Error? Do not change the column headers in the CSV. JustSales relies on exact column names (like `id`, `name`, `sku`) to map the updates correctly.

Making a Sale

The Sales tab is your Point of Sale (POS) cash register interface.

Step 1: Start a Sale

The left side of the screen shows your full inventory. You can add items to the customer's cart in three ways:

  • Clicking: Click any product card on the left. It will fly into the cart on the right.
  • Searching: Type the product name in the search bar.
  • Scanning: Click into the search bar, and scan a physical barcode. The item is instantly added!

Step 2: Change Quantity

In the right-hand cart panel, use the + and - buttons to adjust quantities. Click the red trash can icon to remove an item entirely.

Step 3: Complete Sale

At the bottom of the cart, you will see the Subtotal, Tax, and Grand Total.

  1. Click the large green Checkout button.
  2. A popup will ask for the Payment Method (Cash, Card, etc.).
  3. Click Complete Sale.

What happens next?

The inventory quantities are instantly deducted. The sale is recorded in your Dashboard. A PDF Invoice/Receipt is automatically generated and opened on your screen.

Purchase Orders (PO) & RFQs

The Purchases tab allows you to order new stock from suppliers.

Create a Purchase Order

  1. Go to the Purchases tab.
  2. Click Create Manual PO.
  3. The builder opens. On the left, click products you want to order.
  4. On the right, adjust the quantities. Notice how they are automatically grouped visually by Category to make reading the PO easier for your supplier!
  5. Click Save Purchase Order.

Auto-Generate for Low Stock

Click the Auto Generate PO button to instantly pre-fill the cart with every single product in your store that is currently low on stock.

Generating RFQs (Hiding Prices)

Once a PO is saved, click the three dots menu next to it.

  • Download as Purchase Order: Standard PDF containing unit costs and grand totals.
  • Download as RFQ (Request for Quote): Generates a PDF titled "REQUEST FOR QUOTE", and magically hides all prices, unit costs, and totals so you can send it to a supplier to ask for their pricing.

Invoices & PDFs

JustSales has a built-in PDF generator that creates clean, professional documents without requiring Microsoft Word or Excel.

Generating a PDF

PDFs are generated automatically when you complete a Sale. For Purchase Orders, you generate them by clicking the menu on a saved PO.

Viewing and Printing

When a PDF is generated, JustSales utilizes your computer's default PDF viewer (usually Microsoft Edge or Adobe Acrobat) to open the file. From there, you can click the standard Print button to send it to your A4 laser printer or 80mm thermal receipt printer.

The store name, address, and phone number printed at the top of the invoice are pulled directly from what you configured in the Settings tab.

Dashboard & Reports

The Dashboard tab is the first screen you see after logging in. It gives you a real-time view of your business health.

Understanding the Numbers

  • Total Revenue: The total gross amount collected from all completed sales.
  • Total Products: The total number of unique product entries in your database.
  • Low Stock Alerts: Highlights how many products have fallen below their safety reorder limit.

Recent Sales

The bottom half of the dashboard displays a scrolling list of your most recent transactions. You can click on any transaction to reprint its receipt.

Advanced Settings & Auto-Lock

Secure Auto-Lock

For security in a retail environment, JustSales features a built-in Auto-Lock.

If you step away from the computer, the app will automatically lock after a period of inactivity. It will instantly return to the PIN login screen.

Will I lose my current cart? No! Any sale you were in the middle of ringing up is preserved in the background. As soon as you enter your PIN, the screen will instantly unlock exactly where you left off.

Dark Mode & Themes

At the bottom of the Settings page, you can toggle between Light and Dark mode. Dark mode is highly recommended for environments with low lighting to reduce eye strain.

Clear Database (Warning)

In the Advanced section, there is a Clear Database button. This irreversibly deletes all data and requires you to type a confirmation phrase. Only use this if you are wiping a test environment to start fresh.

Troubleshooting Centre

Solutions to the most common issues.

Problem: App won't open after an update

Possible cause: Windows Defender quarantined the new executable, or the database is locked by a background process.

Step 1: Open Task Manager (Ctrl+Shift+Esc).

Step 2: Find any running instances of sales_app.exe and click "End Task".

Step 3: If Windows Defender removed the file, go to Windows Security -> Protection History and click "Restore".

Problem: Barcode scanner is typing weird characters

Possible cause: Your physical USB barcode scanner is configured to a non-US keyboard layout, or has special prefix characters enabled.

Solution: Scan the "Factory Reset" or "USB Keyboard Mode" barcode in the paper manual that came with your physical scanner hardware. JustSales expects standard keyboard text input followed by an "Enter" keystroke.

Problem: Print Barcodes button does nothing

Possible cause: The product you selected doesn't have an SKU.

Solution: You cannot generate a barcode for an item that doesn't have an identifying number. Click Edit on the product, enter an SKU (e.g. `1001`), save, and try printing again.

Problem: CSV won't import

Possible cause: The columns in your Excel file do not match the format JustSales expects.

Solution: Click "Export CSV" to get a fresh template. Open that file, copy your real inventory data under those specific exact column headers, save as "CSV (Comma delimited)", and re-import.

Frequently Asked Questions

Is JustSales completely offline?

Yes. JustSales does not require an internet connection to function. It does not force you to create a cloud account, and your data never leaves your computer.

Where is my data stored?

All data is stored locally in a high-speed database folder called sales_app_db located in your Windows Documents folder.

How do I change my store logo?

Currently, the store name printed on the PDF invoices is text-based and pulled from the Settings tab. Custom image logo uploading is planned for a future update.

Why does Windows show a security warning when I install?

Because JustSales is distributed independently, it does not currently carry a Microsoft Code-Signing Certificate (which can cost hundreds of dollars a year). Windows SmartScreen automatically flags unsigned applications. You can safely click "More info" -> "Run anyway" as long as you downloaded the file from our official website.
